Personnel/Position Control

Personnel/Position Control 2000 is a database component in the suite of Financial 2000 integrated applications. This component consists of Personnel and Position Control applications that are designed specifically for use by school district Human Resource and Budget departments to develop and maintain information databases of district positions and employees.

Data entered and stored in the Personnel/Position Control 2000 applications is transferred to the Legacy MAGIC Human Resource database that resides on the HP3000. The information transferred to the MAGIC database provides budget projection calculation information that is used in the Salary Analysis Management System as well as employee salary calculation information that drives the New Payroll System.

The windows based, configurable forms in the Personnel and Position Control applications are innovative, flexible and provide efficiencies in data entry. Drop down lists of codes stored in lookup tables are available for user selection of single codes applicable to the employee or position. On-line search capabilities are provided for viewing multiple records of employee and position data. Select forms are displayed in a grid format with features similar to an Excel spreadsheet, providing the user with sorting capability within the form. Multiple fiscal year records for employee and position data are available for review in effective date grids. Effective dates are also provided to define a point in time in which change occurs relative to an employee or position record. Data is rolled from one fiscal year to the next fiscal year and employees are stepped automatically through this roll process per the rules defined on the salary schedule and the position attachment. Calendars tied to positions and employees are also updated and maintained through the roll functionality or individually through a web based component residing within the infrastructure of the windows-based application. Valid positions without employees are identified as a "Vacancy" and are tracked and accounted for in the budget until an employee is attached to the position.

Access to the Personnel/Position Control applications is defined in the Financial 2000 security module. Authorized users access Financial 2000 with a security login and password and may then select the Personnel or Position Control icons to access those applications. Within each application additional access is provided to define whether a user has access to a specific form or as to whether the user can write or "read only" in each form. Additionally fields can be defined as "restricted" to prevent the viewing of a specified field value within a form.

Data stored in the Personnel/Position Control 2000 application database is also integrated with Reports 2000, providing the user with the ability to select, sort, group and filter the stored data to create ad-hoc reports on demand.
