The Financial
2000 Purchasing/Stores application has been developed and
designed by our purchasing sub-committee for our purchasing/stores users. The
sub-committee met on a regular basis and helped put together needs and wants
that they felt our existing system could not or did not presently provide them.
With all this information in hand, the Financial 2000 Purchasing/Stores were
designed.
The Purchasing/Stores application provides all the flexibility and/or customization each district may need. The system is easy to use and has been designed to accommodate basic Windows functions within the applications making the system very user friendly.
Each district
sets up logons, position types, positions, position approval rules, account
access rules, account access groups, and security groups that are district specific,
demonstrating the flexibility of the system. The Purchasing/Stores application
is the first to integrate into our existing HP3000 system providing the
missing link that was crucial in providing the ability to pre-encumber at the
requisition level. The Purchasing/Stores application provides the ability to
enter different types of requisitions that are evaluated based on rules and
criteria's established by the district, which will then pre-determine the appropriate
approvers that are needed.
The system provides the necessary tracking and audit trails. The system also provides a true Purchase Order Change Order tracking, which integrates with our existing Accounts Payable System on the HP3000.
The Purchasing/Stores components interface with each other creating an integrated system that shares data across applications. The requisition information is created into a purchase order or a stores issue. Changes are made through the change order, which interfaces back to the payment program. Items are received through the receiving module, which then can update the stores warehouse stock inventory.
The purchasing/stores application also integrates into Fixed Assets.
